What we collect
Depending on your interaction with us, we may collect your name, email address, telephone number, country of residence, stay dates, number of guests, booking purpose, group information, arrival information, booking and payment status, property preferences, communications, owner/property-management enquiry details, marketing choices and operational notes relevant to providing our service.
Why we use it
We process personal information to respond to enquiries, vet and administer booking requests, provide accommodation and guest support, process payments, prevent double bookings, manage owner enquiries, maintain records, protect our properties and guests, meet legal or accounting obligations, improve our service, and communicate with you where permitted.
Payments and service providers
We use specialist service providers to operate parts of the service, such as payment processing, email delivery, hosting and calendar synchronisation. They may process information only to the extent necessary to provide those services. Payment card details are handled by the payment provider and are not intended to be stored in the Seaboard Stays guest database.
Direct marketing
Marketing consent is optional and separate from making a booking. If you tick the marketing opt-in, we may send occasional Cape Town travel inspiration, property news and direct-booking offers. You can withdraw that consent at any time. We will maintain a suppression record so that a person who has unsubscribed is not inadvertently added back to a marketing list without a fresh, explicit opt-in.
Unsubscribing
Marketing emails will include an unsubscribe option. You may also contact us at any time and ask us to stop direct marketing. Unsubscribing from marketing does not stop essential transactional messages about an enquiry, booking, payment, stay or property-management request.
How long we keep information
We keep information only for as long as it is reasonably necessary for the purpose for which it was collected, including operational, contractual, legal, accounting and dispute-resolution requirements. Marketing suppression records may be retained so that we can respect an opt-out request.
Security
We use reasonable technical and organisational safeguards designed to protect personal information against loss, misuse, unauthorised access, alteration or disclosure. Access to host and guest records is restricted to people and service providers who need it for legitimate business purposes.
Your rights
Subject to applicable law, you may ask whether we hold your personal information, request access to it, request correction or deletion where appropriate, object to certain processing, or withdraw consent. We may need to verify your identity before acting on a request.
International processing
Some technology providers we use may process information outside South Africa. Where this occurs, we will use providers and arrangements intended to provide appropriate protection for personal information.
